League Orientation
League Orientation
1. Tee times are advertised at least 21 days in advance. Some tee times may be held back until 21 days prior.
2. Tee Times are bookable 21 days in advance.
3. We encourage you to book 12 to 21 days in advance, but at minimum 8 days in advance to ensure you receive a tee time. WGN makes a final commitment to the golf course 8 days prior to the date and must hand back any unfilled times for the course to offer the public. Therefore it becomes much more difficult to accommodate last minute bookings.
4. With that said, as long as you are booking more than 8 days in advance, we are able to accommodate all bookings.
5. With advanced booking we can accommodate everyone onto the course, however, it is not guaranteed which courses remain open, and which courses fill up first.
6. Once committed, cancellations are not always possible or accommodated by the course passed a certain date. With the higher demand on courses last year and even more so this year, many courses have reduced the number of standing tee times that they offer, as well they have applied strict policy for the standing tee times that they do accommodate. Therefore we encourage you to not only book at least 8 days in advance, but also, please avoid cancelling within 4 days of the date, as this may result in a fee or loss of green fee to the course. (Please see Late Cancelations for a full outline of the WGN cancellation policy.)
Arranging tee times based on arrival time, pace of play, and playing partner requests, is a fine art to say the least. This process starts as soon as the bookings open and is managed right up until three days prior to the game. One of the tools we use for managing the groups and tee times is the waitlist.
8+ days prior to the date, the waitlist is merely a tool for you to book, and for us to manage the bookings.
If you see there are tee times available at a particular course but your desired time is waitlisted, you would sign up on a waitlist if:
- Another player you are grouped or paired with for the season has signed into that time
- A player you would like to golf with is in that time (please be sure to email your requests)
- You would like to be moved into that time if possible but are okay being placed within 20 minutes of either side of that time.
- If you don't see any other tee times available at that course and you sign up for a waitlist, you may be moved to the other course.
If you see there are no available tee times at that course, please sign up for the other course. If you would like to be placed on the waitlist of the course that has filled up you may:
- Book at the other course as well as add yourself to the waitlist of the course that is full
- Book at the other course and email your waitlist request to info@womensgolfnetwork.ca
- If you don't see any other tee times available at that course and you sign up for a waitlist, you may be moved to the other course.
With advanced booking we can accommodate everyone onto the course, however, it is not guaranteed which courses remain open, and which courses fill up first.
Upon the 7th day prior to the date, the waitlist actually becomes a waitlist. If you sign up on the waitlist 7 days prior, you will receive communications from us regarding any openings or will be automatically added to a tee time should a spot become available. Either way you will receive confirmation up to 72 hours prior.
If you are booking as a pair or a group more than 12 days prior:
- You will need to communicate to us who your group or playing partner for the season is, either by:
- Listing your players upon registration within the registration form. (if you have not added this initially, please do not add the names to your account without notifying us by email)
- Email your names to info@womensgolfnetwork.ca
- Please sign up for the same tee time, even if it has a waitlist. (if there are no tee times left at that course when you sign up for the waitlist, your group may have to be moved to the other course in order to keep you together).
- Groups that wait to book later, may not easily be grouped together, and may have to remain split between two different times or two different courses for that round, so again, please take advantage of the advanced booking.
- Please see "Booking a Tee Time for another Player" to learn how you can book on behalf of your partner or group.
Special Pairing Request for a Specific Round:
If you are not connected as playing partners or within a group in the system and would like to make a special request, please email info@womensgolfnetwork.ca with the name of the player or players you would like to golf with in that round. That way, when we are arranging players, you will be kept together.
- Tee Times are listed for booking as “Tee Time Windows”. Meaning they are a 5 to 10 minute window in which the actual tee time will land.
- The tee time window that you book may not be the time frame you end up playing. The actual tee time that you are assigned may be within 20 minutes on either side of that window.
- Please be sure that when you are booking, you are flexible to be moved within 20 minutes on either side of that tee time window.
- If you are moved 20 minute earlier and it is a significant change, you may receive a message from us notifying and requesting confirmation that you are able to accommodate the change.
1. Once you have booked your tee time you will receive an initial booking confirmation of your booking window. This is not your assigned Tee Time, this is only a confirmation of the booking window.
2. Exact Tee Times are assigned.
3. Tee times may be assigned within 20 minutes on either side of that booking window.
Please note, when we move players, we do our best to move later, rather than earlier to avoid any conflict with arrival times. If we are moving a player earlier by a significant amount that player will be contacted.
4. Tee Time confirmations are sent by both text and email.
5. When to expect your confirmations:
Monday Tee Times: Sent Friday evenings
Wednesday Tee Times: Sent Monday evenings
Thursday Tee Times: Sent Tuesday evenings
Sunday Events & Tee Times: Sent Thursday or Friday afternoons
5. This confirmation will include the following:
- Your exact Tee Time
- Your assigned Cart Number if you are riding, or will confirm that you are walking if you have selected the walking option.
- Specific arrival instructions for arriving at the course.
- A linked map to the golf course.
6. If you would like to keep watch of which tee time window you are in as we near the game day, you may find your tee times within "My Schedule" in your account. Please see Viewing My Schedule. But again, this is not final until you have received your confirmation 72 hours prior.
7. As we approach the date, you may receive a notification that you have been moved into another tee time, but please know, this is still not your confirmation of your final assigned tee time. These notifications, unfortunately cannot be turned off while we are moving things around and arranging players on the back end. Although we try our best to only move a player once, there are instances where you may be moved a couple of times. Please ignore this until you receive our final tee time assignment, and we apologize for the extra email.
We organize groups according to:
- Paces of play
- Arrival times
- Pair requests
- Walking and riding options
- Likemindedness
In the past we have been very successful with pairing and grouping. We get to know all players and our greatest reward is witnessing the friendships that develop from the groupings.
Although you may not get the exact tee time you wanted, please be assured and trust that you are being grouped appropriately and that good times await you regardless of your tee start.
Texted Tee time confirmations are sent through a system generated number, please do not reply to the confirmation.
